BRING YOUR OWN DEVICE (BYOD) POLICY
AND
ACCEPTABLE USE POLICY
Enjabulweni School grants its staff and pupils the privilege of using smartphones and tablets of their choosing at the school to enhance their teaching and learning experience. Enjabulweni School reserves the right to revoke this privilege if users do not abide by the policies and procedures outlined below.
This policy is intended to protect the security and integrity of Enjabulweni School’s data and technology infrastructure. Limited exceptions to the policy may occur due to variations in devices and platforms.
Enjabulweni School staff and pupils must agree to the terms and conditions set forth in this policy in order to be able to connect their devices to the school network.
- Acceptable Use
- The school defines acceptable use as activities that directly or indirectly support the administrative and academic functions of Enjabulweni School.
- The school defines acceptable personal use on school time as reasonable and limited personal communication or recreation, such as reading. This must not in any way hinder or compromise the quality of teaching and learning.
- Staff and pupils are blocked from accessing certain websites while connected to the school network at the discretion of the school. Such websites include, but are not limited to any social networking sites, gaming sites, unapproved multimedia sharing sites, sites known to support piracy and sites known to contain material inappropriate for the consumption minors.
- Devices and the school’s infrastructire may not be used at any time to:
- Store or transmit illicit materials
- Store or transmit proprietary information belonging to another entity be it school or company
- Harass others
- Engage in outside business activities
- Contravene any relevant statues set in any of the school’s policies
- Contravene any relevant statues set in any of the Kingdom of Swaziland’s laws
- Attempts to obtain access to restricted sites, servers, files, databases, etc. are prohibited. Unauthorized access to other systems from district computers (e.g. “hacking”) is prohibited.
- Use of peer-to-peer (P2P) downloading service to download non approved software (World of Warcraft, Kazaa, Morpheas, Ares, etc.) is not allowed.
- Use of Internet games, multi-user internet games (Halo, World of Warcraft, etc) and IRCs (Internet Relay Chats) are not allowed.
- Use of online radio (Pandora, etc), audio broadcast or video streaming unrelated to class curriculum is not allowed.
- Use of social forums must be related to educational research and not used for personal activities.
- Transmission of any material in violation of any law is prohibited. This includes, but is not limited to: copyrighted material, threatening or obscene material, or material protected by trade secrets.
- The following apps are allowed:
- Apps that enhance the teaching and learning experience and are downloaded from recognised official vendors such iTunes, Windows Store, Google Play or any official and/or recognised app vendor.
- The following apps are not allowed:
- Apps not downloaded through iTunes, Windows Store, Google Play or any official and/or recognised app vendor.
- Staff and pupils may use their mobile devices to access the following school-owned resources: email, calendars, contacts and any other documents made available for sharing through the school’s servers.
- Devices and Support
- Smartphones including iPhone, Android, Blackberry and Windows phones are allowed.
- Tablets including but not limited to iPads, Android OS supported devices or Windows Mobile devices are allowed.
- Connectivity issues are supported by the IT department; staff and pupils should contact the device manufacturer or their carrier for operating system or hardware-related issues.
- The owner of the device must ensure that the said devices have the appropriate operating systems and relevant applications to allow access to the school network and servers.
- Devices must be presented to IT for assessment and configuration of standard apps, such as browsers, office productivity software and security tools, before they can access the network.
- It is the responsibility of the owner of the device to ensure that the device has valid anti malware software in order to use the device on the school network.
- It is the responsibility of the owner of the device to ensure that the device has a suitable cover or bag to protect the device in the event of accidental impact.
- Reimbursement
- The school will not reimburse the staff and pupils for the following charges: roaming, plan overages or any costs incurred while using the device for any purpose whatsoever.
- Security
- In order to prevent unauthorized access, devices must be password protected using the features of the device and a strong password is required to access the school network.
- The school’s strong password policy is: Passwords must be at least eight characters and a combination of upper- and lower-case letters, numbers and symbols.
- The device must lock itself with a password or PIN if it’s idle for five minutes.
- After five failed login attempts, the device will lock. Contact IT to regain access.
- Rooted (Android) or jailbroken (iOS) devices are strictly forbidden from accessing the network.
- Staff and pupils are automatically prevented from downloading, installing and using any app that does not appear on the school’s list of approved apps.
- Smartphones and tablets that are not on the school’s list of supported devices are not allowed to connect to the network.
- Staff and pupils’ access to school data is limited based on user profiles defined by IT and automatically enforced.
- The staff and pupil’s device may be remotely wiped if
- the device is lost,
- the employee terminates his or her employment,
- the pupil leaves the school,
- IT detects a data or policy breach, a virus or similar threat to the security of the school’s data and technology infrastructure.
- Risks/Liabilities/Disclaimers
- While IT will take every precaution to prevent the staff and pupils’ personal data from being lost in the event it must remote wipe a device, it is the staff and pupils’ responsibility to take additional precautions, such as backing up email, contacts, etc.
- The school reserves the right to disconnect devices or disable services without notification.
- Lost or stolen devices must be reported to the school within 24 hours. Staff and pupils are responsible for notifying their mobile carrier immediately upon loss of a device.
- Staff and pupils are expected to use their devices in an ethical manner at all times and adhere to the school’s acceptable use policy as outlined above.
- Staff and pupils are personally liable for all costs associated with their devices.
- Staff and pupils assume full liability for risks including, but not limited to, the partial or complete loss of school and personal data due to an operating system crash, errors, bugs, viruses, malware, and/or other software or hardware failures, or programming errors that render the device unusable.
- Enjabulweni School and Staff will not be held liable for loss of devices due to but not limited to theft or damage to the device.
- Enjabulweni School reserves the right to take appropriate disciplinary action up to and including termination or exclusion for non-compliance with this policy.
